Terms & Conditions

Last updated: October 2026

Welcome to Botanic Aesthetics. These Terms & Conditions apply to all appointments, treatments, services, packages and purchases made with Botanic Aesthetics, including bookings made through our website, online booking system, social media, telephone or in person.

By making a booking, paying a deposit or proceeding with a treatment, you agree to these Terms & Conditions.

1. Appointments And Bookings

All appointments are subject to availability. A booking is confirmed once any required deposit has been paid and confirmation has been received.

Please ensure that you select the correct treatment when booking. If you are unsure which treatment is suitable for you, please contact us before making your appointment.

We reserve the right to request further information or a consultation before certain treatments can proceed.

2. Deposits And Payments

A deposit may be required to secure your appointment. The deposit amount will be displayed or communicated at the time of booking.

Deposits are deducted from the total cost of your treatment unless otherwise stated.

Deposits help secure your appointment time and cover the reasonable costs and losses that may arise if an appointment is cancelled at short notice or not attended.

Where a cancellation or missed appointment results in a genuine loss to the business, we may retain an appropriate amount of the deposit or charge a reasonable cancellation fee, in accordance with applicable consumer law.

Deposits and advance payments will be handled fairly, and any refund due will be assessed in line with these Terms & Conditions and your statutory rights.

3. Cancellations And Rescheduling

We require at least 24 hours’ notice if you need to cancel or reschedule your appointment.

More than 24 hours’ notice: You may reschedule your appointment or request a refund of your deposit, subject to any applicable booking conditions.

Less than 24 hours’ notice: Your deposit may be retained, or a reasonable cancellation charge may apply, to reflect the loss caused by the late cancellation.

Failure to attend: If you fail to attend your appointment without contacting us, your deposit may be retained or a reasonable missed-appointment charge may apply.

Repeated late cancellations or missed appointments: We reserve the right to require full or increased advance payment for future bookings, or to decline further bookings where reasonably justified.

Please contact us as soon as possible if an emergency prevents you from attending. We will consider exceptional circumstances fairly.

Cancellation charges will not exceed what is reasonably necessary to compensate for the loss directly caused by the cancellation. Where we are able to fill the appointment slot, this will be taken into account.

4. Late Arrivals

Please arrive on time for your appointment.

If you arrive late, we will do our best to accommodate you. However, your treatment may need to be shortened, adjusted or rescheduled if there is insufficient time to complete it safely and to the required standard.

The full treatment price may remain payable where a shortened appointment is necessary because of your late arrival.

If you arrive too late for your treatment to proceed, this may be treated as a missed appointment and the cancellation policy may apply.

5. Treatment Suitability And Consultations

Your safety is our priority. Before certain treatments, you may be required to complete a consultation form, medical questionnaire, consent form or patch test.

Please provide complete and accurate information about relevant medical conditions, allergies, medication, pregnancy, previous treatments and any other factors that could affect your suitability for treatment.

You must inform us of any changes to your health or circumstances before each relevant appointment.

We reserve the right to postpone, adapt or refuse a treatment if we reasonably believe it may be unsuitable or unsafe, if required consent or information is missing, or if professional guidance indicates that treatment should not proceed.

Where a treatment cannot proceed for safety reasons, we will discuss the available options with you and deal with any payments fairly, taking into account the circumstances and applicable consumer law.

6. Patch Tests And Preparation

Some treatments require a patch test or other preparation before your appointment. Where required, this will be explained to you when booking.

It is your responsibility to attend any required patch test within the recommended timeframe and follow the pre-treatment instructions provided.

If a required patch test has not been completed, or the result indicates that treatment should not proceed, we may need to postpone or cancel the treatment.

Please follow all pre-treatment advice supplied for your particular service.

7. Piercing Services

Clients receiving piercing services must meet the applicable age, consent and identification requirements.

Valid identification and parental or guardian consent may be required where applicable. Requirements will be explained before treatment.

Piercing is subject to an assessment of suitability, anatomy and any relevant health considerations. We reserve the right to decline or postpone a piercing where it is not considered suitable or safe.

Aftercare instructions will be provided. Clients are responsible for following the advice given and seeking appropriate medical attention if they develop signs of infection or other concerning symptoms.

Healing times vary between individuals and piercing locations. We cannot guarantee a particular healing time or outcome.

Jewellery changes, downsizing and follow-up appointments may incur additional charges unless otherwise agreed.

8. Beauty Treatments, Facials, Peels And Microneedling

Treatments such as facials, skin peels and microneedling may require a consultation, suitability assessment, patch testing or specific pre- and post-treatment care.

Results vary according to the individual, skin condition, lifestyle, treatment history and response to treatment. No specific result can be guaranteed.

You must follow all aftercare instructions, including any advice about skincare products, sun exposure, exercise, swimming or other activities.

Please disclose any relevant skin conditions, allergies, medication, recent procedures or other factors requested during your consultation.

9. Massage And Body Treatments

Please tell us about relevant injuries, pain, medical conditions, allergies, medication or changes in your health before your massage or body treatment.

Massage and sports massage are not a substitute for medical diagnosis or emergency medical care. Where appropriate, we may recommend that you seek advice from a suitable healthcare professional before treatment.

Please communicate any discomfort during your appointment so that pressure or techniques can be adjusted.

10. Packages, Courses And Treatment Plans

Where treatments are purchased as a package or course, the price, number of sessions, any expiry date and any specific conditions will be explained at the point of purchase.

Packages are intended for use by the purchasing client unless otherwise agreed.

If you wish to cancel an unused package, any refund will be assessed fairly, taking into account treatments already received, the applicable package terms, any legitimate costs or losses, and your statutory rights.

We will not apply a blanket refusal of refunds where you are legally entitled to one.

If a course needs to be postponed for safety or medical reasons, please contact us to discuss the options available.

11. Gift Vouchers And Promotional Offers

Any expiry date, restrictions or special conditions applying to a gift voucher or promotional offer will be clearly stated at the time of purchase or promotion.

Gift vouchers cannot be exchanged for cash unless required by law or agreed by Botanic Aesthetics.

Promotional offers cannot be combined unless expressly stated. Offers may be subject to availability, eligibility and specified booking dates.

Nothing in this section affects your statutory consumer rights.

12. Prices And Payments

Treatment prices will be communicated before the treatment is provided. We reserve the right to update our prices for future bookings, but any price agreed for an existing confirmed appointment will be honoured unless otherwise agreed with you.

Any additional treatment or service will be discussed with you before it is carried out.

Payment must be made using the payment methods available at the time of booking or appointment.

13. Allergies, Reactions And Aftercare

Although we take appropriate care when providing treatments, individual reactions and outcomes can vary.

Please follow all aftercare advice and contact us if you have questions or concerns following your treatment.

If you experience a severe or rapidly worsening reaction, difficulty breathing, significant swelling or other emergency symptoms, seek urgent medical assistance.

Please inform us promptly of any adverse reaction so that we can advise you on appropriate next steps within our professional scope.

14. Our Right To Cancel Or Reschedule

In the unlikely event that we need to cancel or reschedule your appointment, we will contact you as soon as reasonably possible to arrange an alternative appointment or discuss an appropriate refund.

If we cancel a treatment and do not provide the service, any refund due will be handled in accordance with your statutory rights.

We may refuse or discontinue a service where necessary for safety, professional standards, legal compliance or inappropriate behaviour.

15. Client Conduct

We aim to provide a welcoming, respectful and professional environment for all clients.

Abusive, threatening, discriminatory or otherwise inappropriate behaviour will not be tolerated. Where reasonably necessary, we may end an appointment or decline future bookings.

Any payment retained or charged in these circumstances will be limited to amounts lawfully due and reasonably justified.

16. Personal Belongings

Please take care of your personal belongings while visiting the salon. Please let us know immediately if you believe an item has been lost.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

17. Results, Responsibility And Consumer Rights

We will provide our services with reasonable care and skill.

Treatment outcomes vary, and information or photographs showing results are illustrative rather than a guarantee that every client will achieve the same outcome.

Nothing in these Terms & Conditions excludes or limits your statutory rights, or any liability that cannot lawfully be excluded or limited.

18. Privacy And Personal Information

We collect and use personal information, including relevant consultation and health information, where necessary to manage appointments, assess treatment suitability, provide services and maintain appropriate records.

Your information will be handled in accordance with applicable data protection law and our separate Privacy Policy.

Please refer to our Privacy Policy for details of how your information is used, stored and protected.

19. Changes To These Terms & Conditions

We may update these Terms & Conditions from time to time. The version applicable to your booking will be made available to you at the time of booking.

Changes will not retrospectively remove rights you already have under an existing agreement or under the law.
